What is Xale?

Xale is a CRM for study abroad consultancies and education teams, built by Xale Private Limited (founded 2024) in Kozhikode, Kerala, India. It runs the whole student journey in one pipeline, from enquiry and counselling to university applications (one deal per application), offers, deposit, visa and enrolment, with WhatsApp, Meta Lead Ads and Android call capture built in. It ships six industry templates: Study Abroad, Education, Manpower, Video Production, Academy and Travel. Along the way it keeps stage requirements for documents, status-to-status deadlines, a follow-up for each role on a lead or deal, internal team chat on every lead and application, payments with EMI plans and Razorpay links in Study Abroad workspaces, and reports where you can click a number to open the leads behind it.

How long does setup take, and can we bring our existing leads?

The basics are done for you. When you sign up and pick your industry, Xale builds the workspace with default roles, a pipeline with stages, statuses and sub-statuses, lead sources, a main branch, dashboard widgets and email templates. Connecting Meta Lead Ads or WhatsApp is a guided flow. Existing leads come in from Excel or CSV through the import wizard: map your columns, set up deals, preview duplicate phone numbers before anything is saved, and download any rows that failed so you can fix them and try again. Universities and courses have their own bulk import.

How does WhatsApp work in Xale?

You have three ways in. Connect a WhatsApp Cloud API number through Meta's Embedded Signup, use WhatsApp Coexistence to keep the WhatsApp Business app on the same number, or connect the Wati, Gallabox or UrbanChat account you already use. Cloud API, Wati and UrbanChat conversations share one inbox, scoped by role. With Gallabox, new enquiries become leads and automations can send templates.

Does Xale record counsellor calls?

Yes, two ways. The Xale Android app syncs every call from the phone's call log to the right lead with direction, duration and outcome, with no per-minute charges, and attaches the phone's own recording. TeleCMI cloud telephony records calls from a business number on any phone, iPhone included. Capture stays off until an admin allows it for a role.

Can our counselling team stop using WhatsApp groups to discuss students?

Yes. Every lead in Xale has an internal team thread, and in the web app every university application has its own channel too. Counsellors, telecallers and managers share files and record voice notes there, from the browser or the Android app, which shows each lead's thread. Anyone who can open the lead can read and post, so a new counsellor sees the whole history, and blocking a user closes every chat to them on their next request.

Can a counsellor and a telecaller each keep their own follow-up on the same student?

Yes. Each role on a lead or on a deal keeps its own follow-up, so one person's date never overwrites another's. Overdue, Today and Later follow India calendar days, and managers see their team's follow-ups by user and by branch.

Does Xale have AI features?

Yes, two. A workspace admin can switch on the Xale AI assistant, which only reads your data and answers plain-English questions about your own leads, follow-ups, pipeline, deals and calls, using Anthropic, Google Gemini or OpenRouter models that Xale manages. Any recorded call can also be transcribed on demand, tuned for calls that mix Malayalam and English; the transcript is saved on the call. There is no AI scoring, and the AI never edits leads or sends messages.

Is Xale priced per WhatsApp message?

No. Xale is a subscription for your workspace, not priced per WhatsApp message. WhatsApp's own message charges are set by Meta: on the Cloud API, Meta bills your WhatsApp Business account directly, and if you use Wati, Gallabox or UrbanChat, that provider bills you under its own plan, which may add fees or a markup. You can start free without talking to sales, and current Xale plans are on the pricing page.

Is my data kept separate and backed up?

Yes. Workspace isolation is built into Xale's data-access layer: every standard read and write is automatically stamped and filtered with your workspace ID, and refused if the ID is missing, and our automated test suites include tenant-isolation tests. Hourly full-database backups stream to off-site object storage, each verified before older copies rotate out, and a failed backup alerts our ops team. Documents uploaded from the web app reach storage through upload links that expire after five minutes; stored files open from a direct link, so share file links with care. Admins can download scheduled snapshots of their workspace data.

Can I use my own domain?

Yes. Add your domain, follow the guided DNS verification and Xale sets up the SSL certificate automatically. Your team then signs in on a login page that shows your company name and logo.

Is Xale SOC 2, GDPR or DPDP certified?

No. Xale does not hold SOC 2 or ISO certification, and we do not claim GDPR or DPDP certification. Here is what we can describe: integration secrets are encrypted with AES-256-GCM, passwords are hashed with bcrypt, sign-ins and destructive actions are recorded in an admin system log with user, IP and device, and every change to a lead or deal is on its activity timeline.
