The challenge
WanderPath is a 5-person boutique agency in Bangalore selling honeymoon, group, and adventure packages — Ladakh, Bali, Backwaters, Vietnam, Bhutan. Most leads come from Instagram and Meta Lead Ads. Most conversations happen on WhatsApp. Most bookings happen on UPI.
The problem: their CRM (HubSpot) was built around an email-quote → call → close flow. Their actual flow was:
- Instagram DM or Meta Lead Ad → WhatsApp message → quick itinerary on WhatsApp → UPI advance payment
Quote turnaround was 36 hours (someone needed to manually draft an itinerary email). By that point, the customer had moved on. Meanwhile, 8-12 itineraries per month were "lost" — agents recalled quoting them but couldn't find the lead in HubSpot.
What we built
A two-week migration to Xale:
- Meta Lead Ads + Instagram DM routed directly into a Xale pipeline by webhook
- WhatsApp Business native — every customer conversation attached to the lead from message one
- Pre-built itinerary templates for the top 12 destinations, stored as WhatsApp template messages — agent picks one, fills 3 variables (date, group size, budget), and the itinerary fires in seconds
- Razorpay UPI link auto-generated for the advance amount — customer pays, Xale marks the lead "Booked"
- Travel module fields — destination, departure date, group size, accommodation tier, transport, insurance — all structured
- Per-agent dashboard showing their open leads, ageing buckets, expected closes
The outcome
After one quarter:
- Booked packages per month: 11 → 56 (5.1× lift)
- Quote turnaround: 36 hours → 4 minutes (median)
- Lost itineraries: 8-12/month → 0
- Agent count: 5 → 5 (no hiring; just removed the busywork)
- Average booking value: up 18% (because agents could now upsell on the WhatsApp thread without losing the context)

The bigger picture
The travel agencies that win in 2026 aren't the ones with the prettiest websites — they're the ones that quote and close on WhatsApp while the customer is still excited. Xale's WhatsApp-first design and its travel module are why a 5-person agency can outpace agencies 10x its size that are still living in email.
